HEAD OF PROCUREMENT – PHARMACEUTICALS & MEDICAL DEVICES

I. Job title and workplace

1. Position: Head of Procurement – Pharmaceuticals & Medical Devices

2. Workplace: 712 CMT8 Street, Tan Son Nhat Ward, Ho Chi Minh City (Previous address: 712 CMT8 Street, Ward 5, Tan Binh District, Ho Chi Minh City)

II. Job objective

Establish, operate, and manage all procurement activities of pharmaceuticals and medical devices from domestic and international suppliers. Ensure stable supply sources with quality products at competitive prices to support distribution to hospitals, clinics, and pharmacies. Develop standardized procurement processes, build a capable team, and establish a strategic supplier network.

III. Key responsibilities

1. Establish & develop procurement system

    • Develop internal procurement processes, regulations, templates, and guidelines for the department.

    • Set supplier selection and evaluation criteria that meet pharmaceutical and medical device industry standards.

    • Coordinate with related departments (Sales, Accounting, Warehouse, Legal) to design a transparent ordering–inspection–warehousing–payment process.

2. Procurement planning & execution

    • Build procurement plans based on sales demand and actual inventory levels.
    • Source, negotiate, and sign contracts with reputable suppliers, ensuring competitive pricing and optimal payment terms.
    • Diversify supply sources to mitigate risks in case of disruptions.
    • Monitor delivery schedules and resolve issues related to product quality, quantity, or import regulations (if applicable).

3. Supplier management & development

    • Establish, develop, and maintain relationships with manufacturers, distributors, first-tier agents, and import partners.
    • Organize regular evaluations of suppliers’ delivery capabilities and after-sales services.
    • Stay updated on market trends, price fluctuations, and new product developments.

4. Team management

    • Recruit, train, and develop a procurement team suitable for a newly established company phase.

    • Organize work assignments, monitor performance, and evaluate KPIs of team members.

5. Cost management & compliance

    • Closely control procurement budgets, optimize costs, and manage supplier debts.

    • Ensure all procurement processes comply with regulations on Pharmaceuticals and Medical Devices (Pharmacy Law, GSP, GDP, ISO13485, etc.).

    • Collaborate with the Legal department to prepare registration documents and obtain required permits (if necessary).

6. Reporting

    • Provide periodic reports on procurement status, costs, suppliers, inventory, and potential risks to the Board of Directors.
    • Propose solutions for process improvement and market expansion.

IV. Job requirements

1. Bachelor’s degree or higher in Pharmacy, Economics, Business Administration, Import-Export, Healthcare, or related fields.

2. Candidates with a Pharmacy Practice Certificate or strong knowledge of Pharmaceutical and Medical Device Law are preferred.

3. Minimum 3–5 years of experience in procurement or supply of pharmaceuticals/medical devices, with at least 1–2 years in a management role.

4. Understanding of the pharmacy, hospital, and clinic markets.

5. Experience in building procurement processes from scratch is a strong advantage.

6. Strong negotiation, risk management, problem-solving, and team management skills.

7. Good communication skills; proficiency in English and/or Chinese is a plus for working with international suppliers.

V. Compensation & benefits

1. Salary: 20–30 million VND/month + quarterly bonuses/performance-based incentives (competitive based on capability).

2. Annual bonus: 13th, 14th, 15th month salary based on business performance (at least 13th-month bonus), plus holiday, birthday, and special occasion bonuses.

3. Annual salary review: Every January and additionally based on performance.

4. Teambuilding & company trips: 1–2 times/year, domestic or international.

5. Training opportunities: Participate in skill and knowledge development programs aligned with job requirements.

6. Annual leave: 12 days/year and other benefits in accordance with labor laws.

7. Working hours: Monday to Friday: 8:00 – 17:00; Saturday: 8:00 – 12:00.

8. Free parking: Onsite with security services.

9. Work tools: Company provides laptop, uniform, and all necessary equipment for the job.
